Graduation - Peppi

The graduation system (Valo) is a service for students and staff that brings together the graduation to-do list and instructions in one place. It provides a common working platform for students and administrators, supporting the smooth preparation of the graduation application and the transparency of the graduation process. All parties involved can contribute and monitor the process requirements in real time.

The graduation system is part of LAB's study management system. You can find it in Peppi, in the top bar of the student's desktop: My studies -> Graduation. You can also access the graduation system on mobile.

Basic information about the graduation system

Using the graduation system is simple. You can see a summary of the main steps in the graduation process on the home page.

The system will guide you step by step what you need to do next, and which points are the responsibility of the application handlers.

The most important steps for the student are the graduation questionnaire and the graduation checklist. Once you have completed a step, you will proceed to the next page, where you will see more detailed instructions for each step.

You can check the Change Log to see when your application was last advanced or edited.

Having trouble using the graduation system?

Always read this the following instructions first. If the graduation system does not work as instructed, try to

log out of the system
close the browser
log back into the graduation system/Peppi.
You can also try a different browser.

Instructions of how to use the graduation system

1. I would like to graduate

Start the graduation process by completing the graduation questionnaire (national AVOP questionnaire).

You can access the questionnaire from the home page of the graduation system: click on the button "Go to the graduation questionnaire". The link will take you outside the system.

Exceptions:

If you have multiple study rights, first make sure you are logged in to the correct study right. If you see the wrong student number/education in the graduation system, go back to Peppi and change your study right.

2. Graduation questionnaire

Complete the AVOP questionnaire on a separate website.

An example of the AVOP questionnaire for higher education degrees:

Log in to the AVOP survey page with your university username and answer all questions at once (approx. 100 questions). If you fail to answer, your answers will not be saved and you will not be able to progress in the graduation process.

After submitting your AVOP survey answers, wait for a redirect back to the Graduation System. This will ensure that a graduation application is generated for you, after which you will see the additional instructions on pages 2 and 3, and your tutor teacher will receive an email alert for the new application. If necessary, log in again using your university username.

Exception:

If the AVOP questionnaire does not open after logging in to HAKA, please make sure that:

the courses you have completed are registered (at least the day before)
there are no additional courses in your HOPS.

The questionnaire will open when you have completed a certain percentage of the credits required for your degree (80% at bachelor level, 50% at master level).

3. Review phase

Once you return, the graduation system will automatically send a message to your tutor informing that you have started the graduation process.

The verification phase is a two-part process where you first fill in the items on your own list and then wait for your tutor teacher to check the list on their part.

In the first stage, your tutor teacher takes the application for review and you complete the checklist items independently.

Remember to save each change - a Save button will appear after each change in the orange bar at the top of the page. You can work on the application in sections, everything doesn't have to be ready in one go. Your tutor will see the markings you have made and will also be able to make entries in the student's checklist if they wish.

The second stage starts once your tutor teacher has checked the list and given you permission to submit it, you can finalise the application and submit it for approval. You can see in the Change Log when the tutor teacher has given you a "checked" status. You will receive a message about this in your email and next you will see a Proceed to submitting the application button activated in the menu. Graduation is guaranteed within 3 weeks of your application being received and approved.

Make sure all entries are correct before proceeding to the next step. Responses can no longer be edited or deleted after this stage. If your tutor teacher had marked an item incorrectly, ask him/her to make the necessary corrections in his/her section.

Only after everything is in order, click on the button "Proceed to application submission".

Exception:

If you don't immediately see your tutor's name in the graduation system, don't worry: all tutors see all graduation applications.

Wait for your application to be processed, and your tutor teacher will be marked in to the system.

4. Check your application details and submit your application

Once the graduation application has been sent, the system automatically sends a message to the authorising officer informing him/her that the new application has been accepted.

You will see the date of submission and the name of the approver (study secretary) in the graduation system.

Wait for the approver to process the graduation application.

Once the application has been approved, the graduation system will send you an email informing you of your graduation date. It will also appear on page 5 of the system.

Please note the limited validity of user IDs after graduating: save important files and school emails on your own personal device before your user ID is deactivated.
